How to set up birthday reminders on iPhone

3 min read

For birthdays displayed through Apple Calendar, check both the Birthdays calendar and its alert setting. A date on the calendar does not, by itself, tell you whether an alert is configured. Start with one birthday you know is correct so you can follow it through the setup.

This guide concerns Apple Calendar. If you use the Google Calendar app on your iPhone, use the Google Calendar birthday guide to identify the right settings.

Check whether the birthday is visible

Open Calendar, tap Calendars, and select Birthdays. Apple documents this as the way to show birthdays from Contacts alongside your events. Apple’s calendar guide

Look at the date you expected to see. If it appears, continue to the alert setting. If it is missing, first check that the person’s birthday is actually recorded in Contacts. Having someone’s name and phone number saved does not tell you whether their birthday has been entered.

If you use several contact accounts, check which account contains the person. Apple explains how to view contacts by account in its sync guide. It also notes that iCloud birthday changes can take until the next day to appear because the Birthdays calendar updates daily. Apple’s sync guidance

Avoid repeatedly adding the same person or date while waiting for an update. That can make it harder to work out which entry you intended to keep.

Choose a birthday alert

In Apple’s current iPhone instructions, the setting is:

  1. Open Settings.
  2. Tap Apps, then Calendar.
  3. Open Default Alert Times.
  4. Tap Birthdays and choose an available option that suits you.

Apple separates Birthdays, Events, and All-Day Events in this menu. Check the category that matches your entry. An ordinary event you created and named “Ari’s birthday” is not necessarily the same kind of entry as a birthday supplied by Contacts. Apple’s alert settings

Labels and paths can differ on older iOS versions. Use the version selector in Apple’s guide if your screen does not match.

Check that Calendar may notify you

Review Calendar in the iPhone’s notification settings. Choose how you want its alerts presented, rather than assuming the calendar’s birthday setting controls every part of notification delivery. Apple provides instructions for app notification permissions and presentation options. Apple’s notification guide

Then review any Focus you normally use at the expected alert time. A birthday reminder that arrives during a quiet period may be less useful than you intended. Check your actual configuration before changing it.

Check the result in stages

First confirm the birthday appears on the correct date. Next confirm the birthday alert option is selected. Finally, observe an alert when it is due.

You can create a clearly labeled temporary calendar event with an alert soon in the future to check general notification delivery. That test does not prove that a Contacts birthday will behave identically. Keep those two checks separate, and remove only the temporary test afterward.

If the birthday remains missing or an expected alert does not arrive, note the iOS version, where the birthday is stored, and the setting you selected. Those details are more useful for troubleshooting than changing several settings at once.

Add preparation time separately when needed

A birthday alert can remind you to reach out. Mailing a card or arranging a meal may require a separate task earlier in the month. Choose the available birthday alert you want, then create a preparation task in the system you use for to-dos if you need more flexibility.
